Virtual Track Registration

Can’t join us in person? Experience a sampling of the WIDA Annual Conference and join us virtually on October 15. The virtual track includes live sessions, an exclusive virtual keynote speaker and a live stream of the in-person keynote speaker.

Recording-only access to the virtual track is also available. All attendees will have access to recordings from the live virtual event.

Q: I'm on the waitlist for the 2024 WIDA Annual Conference, what happens if I don’t get a space at the event? 

You can still register to participate in the virtual track of the 2024 WIDA Conference. Visit the Virtual Track page to learn more about the recording-only access options.

 

Q: I’m on the waitlist, when will I be notified if I don’t get a space at the in-person 2024 WIDA Annual Conference? 

A: All individuals on the waitlist were notified of their waitlist status by September 18, 2024. 

Payments and Policies

To make registration for the 2024 WIDA Annual Conference as easy as possible, please review and adhere to the following policies.

Registration Payment

Avoid delays – registration will be confirmed ONLY when processed online. Payment options include credit card, check, or purchase order. See details below for each method.

  • Online credit card payments may be processed with Discover, MasterCard or VISA only 
  • If paying via check, a check number is required at the time of check-out

Substitutions, Cancellations and Refunds

All substitutions must be done online and must be completed prior to the conference. Session selections of the original participant will be carried over to substitutions.

Cancellations and fee refunds must be processed online no later than September 13, 2024. Refunds will be applied to the original credit card used for purchase and will be processed after they are received. If payment was made via check, refund checks will be mailed to the original payer. A $100 cancellation fee will apply regardless of payment method. Please allow up to six weeks for refunds to be processed.

Badges

Attendee badges must be worn at all times at all events, including sessions, the Exhibit Hall, and meals. All attendees MUST pre-register and pick their badge up onsite. WIDA will not mail badges in advance. Please have your registration confirmation available at check-in onsite to receive your badge. 

There will be a $5 replacement fee for lost badges. Once you have received your badge onsite, it cannot be changed, substituted, or reissued to a different person without the express consent of the original badge holder and WIDA, and any changes will incur a $15 fee. Session selections of the original participant will be carried over to substitutions.

Badge Use and Misuse

By attending and/or registering for the WIDA Annual Conference, you agree not to sell, trade, transfer, or share your complimentary code or badge. Any persons wearing badges from previous WIDA events or falsified badges may be ejected from the event and banned from future events. Once you have received your badge onsite, it cannot be changed, substituted, or reissued to a different person without the express consent of the original badge holder and WIDA, and any changes will incur a $15 fee. If such conduct is discovered after an event, violators will be invoiced, according to onsite registration pricing and will be required to pay their invoice in full.

Photography, Recording and Videotaping

Attendees, including a presenting author, may not record audio or video of any breakout, keynote, or invited speaker sessions at the WIDA Annual Conference. Unauthorized recording (audio, video, still photography, etc.) of presentations is strictly prohibited. 

WIDA reserves the right to any approved audio and video production of presentations at the WIDA Annual Conference.  

Attendees, presenters, and exhibitors are encouraged to network and enjoy the conference experience. As such, capturing memories of casual meeting activities and networking is permitted with the permission of those being prominently photographed.  

Those who do not comply with WIDA's Photography, Recording, and Videotaping policy may be asked to leave the premises. 

WIDA Annual Conference attendance implies your consent to be photographed, filmed, and/or otherwise recorded for use by WIDA and third-party partners in company reports, company media pieces, marketing materials, etc.

 

Non-endorsement Disclaimer

While WIDA strives to ensure that the content offered at its conference is as timely and accurate as possible, WIDA makes no claims, promises, or guarantees about the accuracy, completeness, or adequacy of speakers' sessions, and expressly disclaims liability for errors and omissions by speakers. The views and opinions expressed at WIDA conference events are those of the speaker and do not necessarily represent the views of WIDA or its partners. Inclusion in the conference does not constitute WIDA's endorsement or recommendation.

Code of Conduct

WIDA is committed to providing a safe and welcoming environment for all participants regardless of race, ethnicity, gender, sexual orientation, age, disability, physical appearance, body size, experience, or religion (or lack thereof).

We expect everyone, including attendees, presenters, staff and exhibitors, to

  • Act responsibly, behave courteously and respect the rights and dignity of others at all times while in attendance 
  • Notify WIDA staff of any concerning or unsafe situations as soon as possible 
  • Provide clear, helpful and honest feedback 

 The following actions are prohibited: 

  • Harassment or intimidation by words, gestures, or body language 
  • Verbally abusive behavior, including angry or vulgar language, swearing, name-calling, or shouting 
  • Sexually explicit conversation or behavior 
  • Solicitation or spam of uninterested participants 

We want everyone to enjoy the WIDA Annual Conference. In keeping with this goal, we reserve the right to refuse a new registration or cancel without refund an existing registration at our sole discretion. We also reserve the right to eject any registrant without any prior notice or refund if their behavior is deemed disruptive, offensive, dangerous, illegal or if they are found to be distributing unauthorized material. 

If you are being harassed, notice that someone else is being harassed or have any other concerns, please contact a WIDA staff member immediately.

Personal Liability

WIDA is not responsible for loss, damages or injury to persons or property as a result of attending this activity. This also applies to any other related activities if and to the extent you may be eligible to attend as part of your registration.

Accommodations

WIDA is committed to creating an inclusive and accessible event. To request an accommodation for this event, please include your request in the accommodations section during the registration process. Conference materials are available in alternative formats upon request by emailing conferences@wida.us.

Conference Cancellation

At times, given unforeseen circumstances, there may be a need for an event to be canceled or postponed. When this happens, WIDA will refund your event registration fee but will not be responsible for costs associated with in-person events, including but not limited to, cancellation/change fees associated with hotel, airline, other transportation, or travel agency fees. In these uncertain times, it is recommended you do not purchase non-refundable, non-changeable flights or hotel stays. WIDA will not refund registration fees due to weather or travel-related cancellations or delays.
